Applying for space internships: subject line, email and cover letter

In a field experiment with 7,287 applications, a cover letter tailored to the company brought 53% more callbacks than none at all132. Harvard recommends 3 to 4 short paragraphs on 1 page, opening with something specific instead of a cliché133. Subject line

Name the position and reference

Pattern: “Application: … – Ref. …”. Sender with first and last name134.

Email

Short, everything in 1 PDF

The email is only a short introduction. Cover letter, CV and transcripts go into one PDF of at most 3 to 5 MB, named “Application_Firstname_Lastname.pdf”134.

Own evidence

No interchangeable AI sentences

68% of recruiters surveyed in Austria find AI-written applications less authentic, 63% less tailored, and 73% see exaggerated qualifications135.

Opening

Specific, not “I am writing to apply”

Harvard advises opening with something specific about the company and giving 1 or 2 pieces of evidence instead of repeating the CV133.

02 · USA and technical roles

What really counts for technical roles in the USA: content before design

In a survey of 625 US hiring managers, the introduction made the strongest impression for 41%, the design for only 13%136. A sophisticated application is therefore precise and backed by evidence, not decorated. The generator builds it by these 4 rules.

Tailor

Requirement, then evidence

72% consider a tailored cover letter important; what counts most is picking up the skills from the advert136. MIT advises 2 to 3 paragraphs with examples that complement the CV rather than repeat it137.

A project with a link

Hiring managers in the software industry look above all for demonstrable skill such as previous work and projects on GitHub138. That is why a link to your best project belongs in the cover letter and signature.

Length

Short email, 1-page letter

In an analysis of more than 40 million emails, those with 50 to 125 words got replies most often139. For cover letters, US hiring managers named 400 words on average as their preferred length, as a PDF136.

Greeting and close

“Dear Hiring Manager”

Without a name, MIT recommends “Dear Hiring Manager”, with the job's reference number in the text. To close: briefly restate your interest and thank them for their time137.

Do you even need a cover letter for an internship?

What goes in the email, what goes in the PDF?

The email is a short introduction with the subject “Application: … – Ref. …”. Cover letter, CV and transcripts go together into one PDF of at most 3 to 5 MB134. Greenhouse cannot parse CVs over 2.5 MB143.

May I use AI for my application?

As a help, yes; as a replacement, no. In a StepStone study, 68% of recruiters in Austria found AI-written applications less authentic135. The generator only provides the framework; the evidence and your reason for choosing the company come from you.

What does a standard cover letter look like?

The Austrian letter standard ÖNORM A 1080 has been withdrawn144. The PDF follows the widely used German DIN 5008 layout: sender, recipient, place and date on the right, subject in bold, greeting, text, sign-off, attachments.
